Terms of Service

These terms govern your use of GetPaneled's website and therapist credentialing services. Please read them carefully before purchasing a package, submitting information, or relying on our administrative support.

1. Acceptance of These Terms

These Terms of Service govern your access to and use of the GetPaneled website, forms, checkout flow, communications, and therapist credentialing-related services we make available through the site or by direct communication with you.

By visiting the site, submitting information, purchasing a service, or otherwise engaging with GetPaneled, you agree to be bound by these Terms and any additional policies or service-specific terms we provide to you in writing. If you do not agree, do not use the site or purchase the services.

2. Eligibility and Authority

You represent that you are at least 18 years old and legally able to enter into a binding agreement.

If you are using the services on behalf of a practice, group, company, or other entity, you represent that you have authority to bind that entity to these Terms, and references to "you" include both you and that entity.

3. Scope of Services

GetPaneled provides administrative support related to insurance credentialing and payer enrollment workflows for therapists and similar providers. Depending on the package purchased, services may include information intake, document collection, CAQH profile setup or maintenance support, commercial payer application preparation and submission, follow-up communications, and related administrative coordination.

Specific deliverables, pricing, included payer counts, timelines, and exclusions may vary by package, offer, or written communication. Service descriptions on the site are incorporated into these Terms by reference to the extent applicable to your purchase.

  • Services are administrative in nature and are not legal, tax, accounting, medical, or clinical advice.
  • GetPaneled is not acting as your law firm, accountant, insurer, payer, licensing board, or healthcare provider.
  • We do not promise that a payer will credential, enroll, contract with, or reimburse you.
  • We do not control payer processing times, underwriting criteria, contracting decisions, reimbursement rates, or policy changes.
  • Unless expressly stated otherwise in writing, services do not include Medicare, Medicaid, appeals, rate negotiation, legal review, malpractice procurement, licensing remediation, or correction of issues caused by inaccurate or incomplete information you provide.

4. Your Responsibilities

You are responsible for providing complete, current, and accurate information and for responding promptly to requests for documentation, signatures, attestations, portal access, or clarifications.

You remain solely responsible for your professional licenses, certifications, registrations, tax status, practice operations, payer participation decisions, patient billing, claims submission, and compliance with applicable law, payer rules, and professional requirements.

  • You must provide truthful and current provider, ownership, tax, and practice information.
  • You must maintain active licenses, malpractice coverage, and any required registrations.
  • You must review and approve final applications, attestations, contracts, and payer communications when your participation is required.
  • You must notify us promptly if your contact information, licensure, address, tax details, ownership structure, or employment status changes.
  • If you provide credentials, portal access, signatures, or authorizations, you represent that you are authorized to do so and that our use of them to perform the services will not violate any law or contract.

5. No Guarantee of Outcome or Timing

Credentialing and enrollment outcomes depend on third parties, including payers, CAQH, clearinghouses, government agencies, credentialing committees, and other entities outside our control. Because of this, we do not guarantee approval, contracting, network participation, effective dates, reimbursement levels, or completion within any specific timeframe.

Any estimates we provide regarding likely timelines, payer responsiveness, launch timing, or expected next steps are good-faith estimates only and are not guarantees.

6. Orders, Pricing, and Payment

When you purchase a service, you agree to pay all fees, taxes, and charges disclosed at checkout or otherwise approved by you in writing. Prices are listed in U.S. dollars unless we state otherwise.

Payments are processed through third-party payment processors, including Stripe. We do not store your full payment card information on this site. Your use of third-party payment services is subject to those providers' own terms and privacy practices.

  • We may change pricing or package details prospectively at any time.
  • A purchase is not final until payment is successfully processed.
  • If a payment is reversed, disputed, declined, refunded, or charged back, we may pause or stop work until the issue is resolved.
  • You authorize us and our payment processors to collect amounts due in connection with your purchase.
  • Unless expressly stated otherwise in writing, all fees are non-refundable after substantive work has begun.

7. Refunds, Cancellations, and Service Suspension

Because our services involve immediate administrative work, capacity allocation, and customized workflow setup, fees are generally non-refundable once work has started, except as required by applicable law or as otherwise expressly agreed by GetPaneled in writing.

You may request cancellation by contacting hello@getpaneled.com. If cancellation is requested before substantive work begins, we may, in our discretion, offer a full or partial refund. If work has already started, any refund, credit, or partial cancellation decision will be made in our sole discretion unless applicable law requires otherwise.

We may suspend, limit, or terminate services if you fail to provide required information, violate these Terms, engage in abusive or fraudulent conduct, or create legal, compliance, payment, or operational risk for us or our partners.

8. Electronic Communications, Text Messages, and E-Signatures

By submitting your contact information or purchasing services, you consent to receive transactional and service-related communications from us by email, phone, or text message, including intake requests, status updates, reminders, issue-resolution communications, and notices relating to your order.

You agree that electronic notices, disclosures, records, and signatures satisfy any legal requirement that such communications be in writing. You are responsible for ensuring that the contact information you provide is accurate and monitored.

  • Text-message consent is not a condition of purchase where prohibited by law.
  • Message and data rates may apply depending on your carrier plan.
  • You may opt out of non-essential marketing texts at any time by following the instructions in the message, but operational or transactional communications may still be sent as permitted by law.

9. Third-Party Services and Links

The site and services may rely on or link to third-party tools, services, portals, and websites, including payment processors, email providers, CAQH, payer portals, and other vendors. We do not control and are not responsible for third-party services, content, uptime, policies, or security practices.

Your interactions with third parties are solely between you and the applicable third party except to the extent we are expressly responsible under a separate written agreement.

10. Website Use and Prohibited Conduct

You may use the site only for lawful purposes related to evaluating or using our services. You may not misuse the site, interfere with its operation, or attempt to access non-public areas, accounts, or systems without authorization.

  • Use the site in a fraudulent, misleading, defamatory, abusive, or unlawful way.
  • Upload malicious code, scraping tools, bots, or other harmful or disruptive technology.
  • Attempt to reverse engineer, disable, or bypass site security or technical protections.
  • Copy, reproduce, republish, or exploit site content except as allowed by law or with our written permission.
  • Misrepresent your identity, credentials, affiliation, or authority.

11. Intellectual Property

The site, branding, copy, graphics, workflows, forms, and other content we provide are owned by GetPaneled or our licensors and are protected by applicable intellectual property laws.

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the site for your internal business or personal evaluation and use of our services. No other rights are granted.

12. User Materials and Limited Authorization

You retain ownership of the information, documents, and materials you submit to us. You grant us a non-exclusive, worldwide, royalty-free license to use, host, store, reproduce, transmit, and process those materials as needed to provide the services, communicate with you, comply with law, enforce these Terms, and operate our business.

To the extent needed to perform the services you request, you authorize us to use your information and submitted materials to prepare applications, communicate with credentialing entities, and carry out administrative steps on your behalf. You represent that you have all rights, permissions, and authorizations necessary for us to do so.

13. Privacy, Sensitive Information, and Patient Data

You acknowledge that use of the site and services may involve collection and processing of personal, business, and provider-related information you submit to us. We will handle that information in accordance with our applicable privacy practices, operational needs, and legal obligations.

You should not submit information you are not authorized to share. If you provide information about other individuals, you represent that you have the necessary consent or other lawful basis to do so.

Unless we expressly request otherwise through an appropriate workflow, the site and standard intake process are not intended for patient records, treatment notes, or other protected health information relating to your clients. If you believe you need to share patient information, contact us first for instructions.

14. Disclaimers

THE SITE AND SERVICES ARE PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS TO THE MAXIMUM EXTENT PERMITTED BY LAW. TO THE MAXIMUM EXTENT PERMITTED BY LAW, GETPANELED DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING FROM COURSE OF DEALING, USAGE, OR TRADE PRACTICE.

Without limiting the foregoing, we do not warrant that the site will be uninterrupted, error-free, secure, or free from harmful components, or that any information, estimate, or service outcome will be accurate, complete, or meet your expectations.

15. Limitation of Liability

To the maximum extent permitted by law, GetPaneled and its owners, officers, employees, contractors, affiliates, agents, licensors, and service providers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, business opportunity, goodwill, data, contracts, claims, or expected savings, arising out of or related to the site or services.

To the maximum extent permitted by law, the total aggregate liability of GetPaneled for all claims arising out of or relating to the site or services will not exceed the greater of $100 or the amount you paid to GetPaneled for the specific services giving rise to the claim during the 12 months preceding the event giving rise to liability.

16. Indemnification

You agree to defend, indemnify, and hold harmless GetPaneled and its owners, officers, employees, contractors, affiliates, agents, licensors, and service providers from and against any claims, liabilities, damages, judgments, losses, costs, and expenses, including reasonable attorneys' fees, arising out of or related to your use of the site or services, your materials, your violation of these Terms, or your violation of law or the rights of any third party.

17. Suspension and Termination

These Terms remain in effect until terminated. We may suspend or terminate your access to the site or services at any time, with or without notice, if we reasonably believe you have violated these Terms, created risk, or if continued service is no longer feasible.

Sections that by their nature should survive termination will survive, including provisions concerning payments, ownership, disclaimers, limitations of liability, indemnification, dispute resolution, and general legal terms.

18. Force Majeure

GetPaneled will not be liable for any delay, interruption, or failure to perform resulting from causes beyond our reasonable control, including acts of God, severe weather, utility or internet outages, labor disputes, pandemics, governmental action, cyberattacks, vendor outages, or failures by payers, CAQH, or similar third parties.

19. Dispute Resolution and Governing Law

If a dispute arises, you agree to contact us first at hello@getpaneled.com and attempt in good faith to resolve the issue informally before filing a legal claim, to the extent permitted by law.

To the maximum extent permitted by law, these Terms are governed by the laws of the state or jurisdiction in which GetPaneled is organized or principally operates, without regard to conflict-of-law principles.

You agree that any dispute arising out of or relating to these Terms, the site, or the services will be brought exclusively in the state or federal courts located in the jurisdiction where GetPaneled is headquartered, unless applicable law requires otherwise. Each party consents to personal jurisdiction and venue in those courts.

20. Geographic Scope

GetPaneled is based in the United States and the site and services are intended for use by U.S.-based providers and practices unless we expressly agree otherwise in writing. You are responsible for ensuring that your use of the site and services is lawful where you are located.

21. Changes to These Terms

We may update these Terms from time to time. The updated version will become effective when posted to this page unless a later effective date is stated. If we make material changes, we may also provide additional notice through the site or by direct communication where appropriate. Your continued use of the site or services after updated Terms become effective constitutes acceptance of the revised Terms.

22. General Terms

  • These Terms constitute the entire agreement between you and GetPaneled regarding the site and services, except for any separate written agreement we enter into with you.
  • If any provision of these Terms is held unenforceable, the remaining provisions will remain in full force and effect.
  • Our failure to enforce any provision is not a waiver of that provision or any other right.
  • You may not assign these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, sale of assets, or by operation of law.
